A design studio billing monthly retainers
Fifteen clients pay by card through Stripe, and the money arrives in batched payouts. PayCollect ties each payment back to the invoice it covers, the owner approves the batch, and the books are up to date.
PayCollect matches every payment that lands, from Stripe payouts to bank transfers and cheques, against the invoice it pays. It learns how you reconcile from every decision you make, so each month there’s less left for you to check. Works with your accounting software or a simple spreadsheet.
Example data
PayCollect does the matching, learns from your corrections, and only asks when it isn’t sure.
The agent reads each payment the way a bookkeeper would, weighing amounts, names, references and dates against your open invoices. It copes when a bank statement shortens a customer's name or a payment has no invoice number.
When the agent isn't sure, it asks, and shows the match as a dashed line. Drag it to the right invoice, or off to unlink it. PayCollect learns the pattern behind your fix and applies it next time.
Approve one match or the whole batch. PayCollect records each payment against its invoice in your accounting software, or marks it paid in your spreadsheet. Your books match your bank with nothing typed by hand.
Upload the monthly statement as a PDF or CSV, or set your inbox to forward the statement email. PayCollect reads the incoming payments and matches them like any other.
Every way to set up, from accounting software and Stripe to a spreadsheet and a forwarded bank statement. Then how the agent learns when you fix a match, and how you approve what gets posted to your books. Subtitles are on.

Three common ways businesses run PayCollect. These are illustrative examples, not customer reviews.
Fifteen clients pay by card through Stripe, and the money arrives in batched payouts. PayCollect ties each payment back to the invoice it covers, the owner approves the batch, and the books are up to date.
Customers pay by cheque and bank transfer, often without an invoice number. The office manager uploads the statement each month, checks the few matches the agent is unsure about, and approves. Each month there are fewer to check.
Invoices live in an Excel sheet, and the bank’s statement email is forwarded to PayCollect every month. PayCollect ticks off every invoice that’s been paid, so the owner knows exactly which cafés still owe money.
Stuck on a statement that won't read, or a match that looks wrong? Write to us and a person who understands bookkeeping will answer.
Every incoming payment, whether it comes from Stripe, an uploaded bank statement or a forwarded statement email, is matched to the invoice it pays. PayCollect handles shortened names on bank statements and part payments, and flags anything it isn’t sure about, like one payment covering two invoices. You approve the matches, and PayCollect records them in your accounting software or marks them paid in your sheet. Every decision you make teaches the agent, so fewer payments need you next month.
Every time you approve, fix or unlink a match, PayCollect records the pattern behind your decision, such as how your bank prints a customer’s name, or a client who always pays two invoices together. The next time it sees that pattern, it matches the payment on its own. What it learns from your account is used only for your account.
Yes. Upload the spreadsheet you keep your invoices in, then upload or forward your monthly bank statement. PayCollect matches the two the same way it would with accounting software and Stripe.
Any Excel or CSV sheet with one invoice per row works. PayCollect needs a customer name, an amount, a due date and the customer's email. The first time you upload, you tell PayCollect which column is which, and it remembers for next time. You can also add invoices straight into PayCollect.
PayCollect gives you a private email address. Forward your bank's monthly statement email to it, or set up a rule in your inbox to do it every month. PayCollect opens the attached PDF or CSV and reads the incoming payments.
It looks for a payment of the same amount, on or after the invoice date, from a name or reference that matches the customer. Bank statements often shorten names, so when a match is likely but not certain, PayCollect asks you instead of guessing. Partial payments and payments that cover two invoices are shown to you too.
Mark the invoice as paid in PayCollect, or in your accounting software if you use one. Reminders for that invoice stop straight away.
Yes. Disconnecting revokes PayCollect's access to your connected apps straight away, stops every scheduled reminder, and lets you delete the statements and sheets you uploaded.
Connect your invoices and your payments, in whatever form you have them. Your first matches are ready within a few minutes.
PayCollect is an AI agent that matches the payments a small business receives to the invoices they pay, and learns how that business reconciles, whatever tools it already uses.
Most small businesses reconcile the same way. Once a month, someone opens the invoice list in one window and the bank statement in another, and ticks off payments one line at a time. It takes hours, it’s easy to get wrong, and it’s the job everyone puts off.
Accounting software helps if you have it. Many businesses don't. They keep invoices in a spreadsheet and see payments on a PDF from the bank. We think they deserve the same help, so PayCollect works with a QuickBooks account, a Stripe account, a spreadsheet, or a statement you forward from your inbox.
PayCollect reads your invoices and payments to find the matches, then asks you before it changes anything. A payment is recorded in your books only after you approve it. We never move money and never ask for your banking login.
PayCollect is early. We're working closely with a small group of businesses to get matching right before opening up more widely. If you'd like to be one of them, get in touch.
